Privacy Policy

1. Introduction

Voicemarrow, Inc. ("the Company," "we," "us," or "our") operates the website voicemarrow.com (the "Service") and provides an AI conversation analytics platform for contact center operations. This Privacy Policy explains what personal information we collect through the Service, how we use it, and the choices available to you. It applies to information collected through voicemarrow.com and through direct communications with us.

Voicemarrow's core service processes call transcripts submitted by contact center operators. This data is processed solely to generate quality scores, coaching recommendations, and churn signal reports for the submitting organization. We do not use call transcript content to train machine learning models without explicit written consent from the submitting organization.

2. Information We Collect

2.1 Information You Provide

We collect information you submit directly, including:

  • Contact details (name, work email, phone) when you fill out a demo request form, contact form, or trial registration;
  • Company information you choose to share (employer, role, team size, monthly call volume);
  • The content of any messages you send us.

2.2 Information Collected Automatically

When you visit voicemarrow.com, we automatically collect limited technical information:

  • IP address and approximate location (city/region level);
  • Browser type, operating system, device class;
  • Pages visited, referring URLs, time on page;
  • Cookie and similar identifiers (see Section 5 and our Cookie Policy).

2.3 We Do Not Knowingly Collect Children's Data

voicemarrow.com is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact [email protected] and we will delete it promptly.

3. How We Use Information

We use the information we collect to:

  • Respond to demo requests, trial registrations, and general inquiries about our platform;
  • Operate, maintain, and improve the Service, including the AI scoring and analytics capabilities;
  • Send service updates and (with your consent where required by applicable law) marketing communications about Voicemarrow's platform and features;
  • Detect, investigate, and prevent fraudulent or abusive access to the Service;
  • Comply with legal obligations.

We do not sell personal information for monetary value. Where applicable state law treats certain advertising arrangements as a "sale" or "share," see your state's section below.

4. Sharing of Information

We share personal information only with:

  • Service providers acting on our behalf (including cloud hosting providers, email delivery services, and usage analytics providers) under contractual confidentiality terms;
  • Law enforcement, regulators, or courts when required by law or to protect rights, safety, or property;
  • A successor entity in the event of a merger, acquisition, or asset sale, subject to this Policy.

We do not sell personal information to third parties.

5. Cookies and Tracking

We use cookies and similar technologies to operate the site, remember preferences, and measure usage. For details and choices, see our Cookie Policy. You can manage cookie preferences through the banner on this site or by configuring your browser.

6. Data Retention

We retain personal information only as long as needed for the purposes described above, to comply with legal or accounting obligations, and to resolve disputes. Inactive marketing-list contacts are purged after 24 months. Server access logs are retained 90 days, then aggregated. Call transcript data submitted by platform customers is retained per the data retention policy agreed in the customer agreement (30, 90, or 365 days depending on plan).

7. Security

We use administrative, technical, and physical safeguards to protect personal information, including TLS 1.3 encryption in transit, AES-256 encryption at rest, restricted-access databases, role-based access controls, and audit logging for data access events. Call data is processed in US regions; no overseas transfer of call content occurs. No system is perfectly secure and we cannot guarantee absolute security.

8. Your General Rights

Depending on your jurisdiction, you may have rights including access, correction, deletion, and the ability to limit certain processing. To make a request, email [email protected]. We will respond within the timeframe required by applicable law.

9. Colorado Residents (CPA)

Under the Colorado Privacy Act ("CPA"), Colorado residents have the following rights with respect to personal data we control.

9.1 Your CPA Rights

  • Right of Access: confirm whether we are processing your personal data and obtain a copy.
  • Right to Correction: correct inaccuracies, considering the nature and purposes of processing.
  • Right to Deletion: request deletion of personal data concerning you.
  • Right to Data Portability: obtain a portable copy where technically feasible (up to twice per year).
  • Right to Opt Out: opt out of (a) targeted advertising, (b) sale of personal data, and (c) profiling that produces legal or similarly significant effects.

9.2 Universal Opt-Out Mechanism

We honor browser-transmitted universal opt-out signals, including the Global Privacy Control ("GPC"), as a request to opt out of sale and targeted advertising. Configuring GPC in your browser is sufficient -- no separate request is required.

9.3 How to Exercise

Submit a request by emailing [email protected]. We respond within 45 days; one 45-day extension is available where reasonably necessary, with notice.

9.4 Appeal

You may appeal a denial by replying to our response email. If we maintain the denial, you may contact the Colorado Attorney General at coag.gov.

9.5 California Visitors

If you are a California resident visiting from another state, you may also exercise the rights granted under the California Consumer Privacy Act ("CCPA") and California Privacy Rights Act ("CPRA"), including the right to know, the right to delete, the right to correct, and the right to opt out of sale or sharing. We do not sell personal information and do not "share" personal information for cross-context behavioral advertising.

10. Changes to This Policy

We may update this Policy from time to time. Material changes will be reflected by a new "Last updated" date and, where appropriate, a notice on the Service.
